What a contractor rental account should include: card on file, drivers, POs

Short answer

A contractor rental account should hold a card on file, your authorized drivers and a way to tag each rental to a job or PO. At IronBay you don't need to send a certificate of insurance. Accounts pay before each rental with the card on file (no net terms), get the 7x14 for $549 a week ($581.94 with tax) and take 10% off 3 or more units.

Key takeaways

  • IronBay doesn't require a COI to open an account or rent; GCs and other suppliers may still ask for one.
  • Maryland home improvement contractors must carry at least $500,000 in general liability (since June 1, 2024).
  • Card on file, paid before each rental; no net terms.
  • Account rate: 7x14 weekly $549 ($581.94 with tax); 10% off 3+ units.
  • Tag every rental with a job name or PO so invoices match your job costing.

What should be on file before the first rental?

Three things: your business details, a card on file and a list of authorized drivers. We don't ask for a certificate of insurance.

ItemWhy it matters
Business name, address, contactInvoices and receipts go to the right entity
Card on filePays each rental up front and carries the card hold
Authorized driversLets your crew pick up without you
MHIC license number (if you do home improvement)Easy to verify; shows you're licensed

Every driver must be at least 18 and carry a valid driver's license.

Get these on file before the busy season, not the morning of a job. Trailer demand peaks in June, and roofing runs spring through fall, so the week you need three trailers is the week everyone else does too. A complete account means your crew shows up, signs and leaves.

Do you need a COI to rent from IronBay?

No. We don't require a certificate of insurance to open an account or rent a trailer. You'll still want one handy for general contractors, property managers and other suppliers that ask.

A certificate of insurance is a one-page summary from your insurer. It proves you have coverage and shows what kind, for how much and for what dates.

The standard form is the ACORD 25 Certificate of Liability Insurance. It lists the types of coverage, policy numbers, start and end dates and the limits per occurrence. Check that the dates cover the rental period.

In Maryland, home improvement contractors must carry at least $500,000 in general liability insurance under Business Regulation Article § 8-302.1, effective June 1, 2024. The Maryland Home Improvement Commission (MHIC) has a public license search if a customer or supplier wants to verify yours. This is a summary, not legal or insurance advice. Ask your agent what your policies cover for rented trailers and equipment.

Keep a PDF of your current COI on your phone. When your policy renews, send the new one to the GCs you work for before the old one expires.

How does payment work on a contractor account?

Contractors pay before each rental, like everyone else, using the card on file. There are no net terms.

That keeps it simple on both sides. There are no credit applications, no statements to chase and no late-payment fees. Each rental gets its own receipt. Every rental carries a $250 card hold ($500 for machines), released within 24 hours after check-in. If there's ever a charge, you get an itemized notice with photos first.

Account rateBaseWith 6% tax
7x14 dump, weekly$549$581.94
7x14 dump, weekly, 10% off (3+ units)$494.10$523.75
Delivery, Howard County (each way)$75$79.50
Delivery, Anne Arundel, Baltimore and Carroll counties, City of Laurel (each way)$125$132.50

How do POs and job tags keep the books clean?

Put a job name or PO number on every booking, so each receipt matches the job it belongs to.

When you run several crews, a receipt that only says "7x14, 3 days" is useless at month-end. Tag each booking with the customer address or your PO number. That way disposal, delivery and rental costs land on the right job.

A few habits that help:

  • Use one PO per job, not per crew.
  • Keep Return It Loaded scale tickets with the rental receipt.
  • Book multi-unit weeks together, so the 10% discount for 3+ units applies.

It also helps when a customer disputes a disposal line. A scale ticket with the job address and date, matched to a rental receipt with the same tag, settles it fast.

What about landfill permits and rules for crews?

Your account covers the trailer, not the landfill. Each county has its own rules for trailer loads.

Alpha Ridge in Howard County treats trailer and rental loads as commercial. It requires a $40/yr permit, charges $106/ton for C&D plus a 2.45% card fee, accepts Howard County waste only, and may require a special-exception form for rental vehicles. Anne Arundel's Millersville site charges $100/ton for rental or double-axle trailers. Every county weighs and charges rented or tandem-axle trailer loads, and none opens Sunday.

Landfill fees, hours and rules are set by each county or site and can change without notice. We don't control them; call the site before you go.

The Howard County dump guide has the details. If you'd rather skip the line, Return It Loaded means we dump it for you.

How do I set up an account?

Start on the contractor page or text (443) 766-0027. We're staffed 8am–6pm, 7 days a week.

Send your business details and driver list, and add your card. After that, booking is a text. Pickup and return work 24/7. Returns after 6pm carry a $25 late drop-off fee, and a trailer that isn't back by 7am the next morning is charged another day. Roofers should also check the roofer program. Our guide on renting vs buying a dump trailer runs the break-even math.

Delivery works on accounts too: $75 each way in Howard County ($79.50 with tax), $125 each way in Anne Arundel, Baltimore and Carroll counties and the City of Laurel ($132.50 with tax). A trailer dropped at the job before the crew arrives saves a truck and a driver for the morning.
